An established construction group is seeking a detail-oriented Payroll Administrator to join their team on a contract-to-permanent basis. This high-volume, full-cycle role involves processing payroll for 800–1000+ hourly and salaried employees across multiple provinces and entities. Working with a collaborative payroll team, this role plays a key part in maintaining payroll accuracy, compliance, and employee satisfaction.

Schedule: Monday to Friday, 8:00 AM – 5:00 PM (1-hour unpaid lunch) | In-Office
Compensation: $33–35/hour
Dress Code: Business Professional
Reports To: Payroll Manager
Key Responsibilities:
Payroll Volume & Software Proficiency
Administer weekly payroll for 800–1,000 employees across 2 Canadian entities, using JD Edwards and Advanced Excel (VLOOKUP, Pivot Tables).
90%+ of the payroll is hourly-based, requiring strict adherence to time reporting and calculation accuracy.
Timesheet Management
Review, audit, and reformat 100+ Excel-based timesheets daily, ensuring 100% data integrity before importing into payroll system.
Convert raw Excel data into structured tables for seamless integration and processing.
Payroll Execution & Processing
Complete weekly payroll cycles within a 3-day processing window, meeting all internal and CRA deadlines.
Manually input and verify an average of 25–40 payroll transactions per day, including bonuses, vacation payouts, advances, and adjustments.
Non-Statutory Deductions
Accurately enter and track all non-statutory deductions (e.g., employee receivables, loans, repayments) for 50–100 impacted employees each cycle.
Pay Adjustments
Process 10–20 pay increases or retroactive adjustments weekly through JD Edwards, ensuring zero errors in back-pay calculations.
Collaborate with HR to confirm changes before submission.
Month-End & Year-End Support
Assist with monthly reconciliations for payroll accounts across both entities, ensuring zero variances.
Support quarterly and annual filings including T4 reconciliation, contributing to on-time year-end close.
Compliance & Accuracy
Maintain 100% compliance with employment standards across Alberta, BC, Saskatchewan, Ontario, and Newfoundland & Labrador.
Verify all entries against company policy and provincial legislation; flag and correct discrepancies within 24 hours.
Cross-Department Collaboration
Respond to 15–30 payroll-related inquiries weekly from HR, Finance, and employees, maintaining a same-day response standard.
Liaise with external agencies (e.g., CRA, WCB) as needed to resolve compliance questions.
Documentation & Recordkeeping
Ensure full audit-readiness by maintaining organized digital and hard-copy payroll records for 100% of all pay cycles.
Prepare payroll documentation packets and distribute 800+ pay stubs weekly via electronic or physical methods.
Team & Overtime Flexibility
Provide backup coverage for a 5-person payroll team during peak periods and vacations.
Flexibility to work 2–5 hours of overtime per week during stat holidays, month-end, or quarter-end periods.
Process Optimization
Participate in continuous improvement initiatives; contribute to 2–3 process enhancements per quarter that reduce error rates or increase efficiency.
Identify recurring data issues and propose solutions to reduce rework and manual corrections.
Required Skills & Attributes:
High accuracy and attention to detail in high-volume, time-sensitive environments.
Strong Excel skills; confident with formulas, tables, and data organization.
Ability to maintain discretion, confidentiality, and professionalism in payroll matters.
Excellent communication and problem-solving skills.
Comfortable working both independently and as part of a collaborative payroll team.
Qualifications:
PCP/CPM designation preferred (not required with relevant experience).
Experience with JD Edwards or similar enterprise payroll systems is an asset.
3+ years of full-cycle Canadian payroll experience, ideally in a large or multi-entity environment.
Familiarity with statutory deductions, retroactive calculations, and multi-provincial payroll compliance.
