The Accounts Receivable Collections Specialist is responsible for managing the collection of outstanding accounts receivable. This role requires strong communication skills, attention to detail, and the ability to negotiate payment terms while maintaining positive customer relationships. The specialist will work closely with the invoicing team to resolve issues, ensure timely collections, minimize bad debt, and support the company’s financial health.

Key Responsibilities

Accounts Receivable & Collections

  • Monitor accounts receivable and follow up with customers on outstanding balances via phone and email.

    • Manage approximately 100 clients across the US and Canada.

    • Handle about 20 collection calls per day, varying based on customer needs and research requirements.

    • Act as a liaison for clients, addressing invoice issues and escalating internally to resolve disputes.

      • Common invoice issues include missing PO numbers or backup documentation.

    • Generate AR aging reports to track overdue balances and trends.

Systems & Process Support

  • Collaborate with AR Manager/Supervisor to address billing disputes or inaccuracies.

  • Maintain accurate customer records in NetSuite ERP, including collection notes and profile updates.

  • Recommend accounts for escalation to AR management for collection leveraging strong customer relationships.

  • Assist with accounting tasks related to collections throughout the month.

  • Support process improvements by observing daily work patterns and providing recommendations.

 

Qualifications & Skills

  • Minimum 3 years’ experience in accounts receivable, collections, or credit management.

  • Strong negotiation, written and oral communication, and problem-solving skills.

  • Proficiency with invoicing systems, accounting software, and Microsoft Office.

  • Ability to work independently and manage accounts in both Canada and the US.

  • High attention to detail and excellent organizational skills.

 

Additional Information

  • Compensation: $26–30/hour, depending on experience (current benchmark $26.45/hour).

  • Hours: 8:00 AM – 5:00 PM with 30–60 minute lunch.

  • Work Environment: Office preferred for first 3 months; remote thereafter possible.
