The Payroll Coordinator will support payroll operations for approximately 270 employees (primarily salaried, with 60–70 hourly staff and a small unionized group). This role focuses on payroll reconciliation, reporting, and process improvement initiatives, while serving as a backup for full-cycle payroll processing. ADP Workforce Now (WFN) experience is essential.
Key Responsibilities
Payroll Administration & Compliance
Assist with bi-weekly payroll processing for corporate, U.S., and Canadian subsidiaries, ensuring accuracy for 270+ employees; perform quarterly and year-end payroll data audits, reconciliation, and adjustments.
Reporting & Analysis
Prepare recurring and custom payroll reports and dashboards using Excel (pivot tables, VLOOKUP, macros) and ADP reporting tools; deliver actionable insights to stakeholders.
Year-End Activities
Manage high-volume year-end adjustments in compliance with Canadian payroll regulations; ensure accurate T4/T4A generation.
Process Improvement
Participate in projects to streamline payroll workflows, enhance compliance, and improve efficiency across payroll operations.
Collaboration & System Support
Partner with HRIS and Total Rewards teams to support payroll system upgrades, troubleshoot ADP WFN issues, and ensure seamless data integrations.
Regulatory Support
Provide occasional support for Canadian and U.S. tax regulations, employment law compliance, pension contributions, and benefit deduction processes.
Qualifications
5+ years of payroll, HR operations, or related experience.
PCP designation considered an asset
Current, hands-on experience with ADP Workforce Now (WFN)—required.
Intermediate to advanced Excel skills, including pivot tables, VLOOKUP, and macros.
Bachelor’s degree in Business, Finance, Accounting, HR, or related field (preferred).
Strong attention to detail, data integrity, and organizational skills.
Excellent communication skills and ability to collaborate with cross-functional teams.
Work Environment

Contract Duration: 6+ months, with opportunity for extension
Reporting to: Manager, Payroll
Schedule: Monday–Friday, 9:00 AM – 5:00 PM EST (Ontario preferred)
