About
We’re hiring an Accounts Receivable & Accounting Administrator to manage billing, collections, and accounting support for a busy office team. This role is fully in-office, supporting the Office Manager and Controller, and offers the opportunity to grow into a permanent position with long-term stability.
The Opportunity
As an Accounts Receivable & Accounting Administrator, you’ll oversee full-cycle AR functions while assisting with general accounting, payroll, and administrative support. You’ll handle a high volume of invoicing, ensure customer accounts are reconciled accurately, and play a key role in keeping financial operations running smoothly.
Key Responsibilities
Accounts Receivable Management
Process ~200 invoices/month with values ranging from $500 to $300K.
Monitor and follow up on payments for ~2,000 customers, ensuring accounts are kept within 60-day terms.
Prepare weekly bank deposits, reconcile EFT transactions daily, and resolve discrepancies proactively.
Utilize customer portals for invoice uploads and payment tracking.
Collections & Customer Support
Send reminders and follow up with clients via phone/email to maintain positive cash flow.
Investigate and resolve billing discrepancies, ensuring accurate account reconciliation weekly.
Complete and process customer credit applications, including trade reference checks.
Accounting & Administrative Support
Reconcile AR and AP ledgers, apply adjustments, and ensure financial accuracy.
Provide backup payroll support, including timesheet entry and expense reimbursement.
Support administrative functions such as filing, data entry, and responding to customer inquiries.
Team Collaboration
Assist with shop administration, including timesheet and inventory entry.
Act as a key support to management and colleagues, maintaining strong internal and external relationships.
Ideal Candidate Profile
2+ years of accounts receivable and general accounting experience
Strong organizational skills with high attention to detail and accuracy
Proficient in MS Office (Excel advanced level) and comfortable with accounting systems
Excellent time management, interpersonal, and communication skills
Able to thrive in a fast-paced environment and manage competing priorities
Compensation & Benefits
Salary: $55,000–$65,000/year
Vacation: 2 weeks to start + birthday day off
Retirement: RRSP matching ($1,500–$2,500 annually, based on tenure)
Health Benefits: Employee-paid LTD/STD, extended benefits covered
Schedule: 7:30 AM – 4:00 PM (1-hour unpaid lunch), fully in-office
