About

An Accounts Receivable Specialist is responsible for managing and processing incoming payments from customers. They ensure accurate and timely collection of outstanding invoices, resolve any billing discrepancies, and maintain detailed records of transactions. Additionally, they may communicate with customers to address payment issues, negotiate payment plans, and provide exceptional customer service. Strong attention to detail, organizational skills, and proficiency in accounting software are essential for this role.

Key Responsibilities

Accounts Receivable and Collections

  • Perform AR Invoicing process for basic parts shipments and services;

  • Maintain all records of AR collection calls and discussions and participate in related meetings;

  • Review cash receipts for services and products provided to our clients and be able to determine where the cash is to be applied accurately;

  • Produces and distributes detailed accounts receivable aging reports with all pertinent information to supervisor and others outside the department in all divisions

Systems and Process Support

  • Research project and job files and all invoices pertaining to a contract or purchase order to resolve basic invoicing or collection issues;

  • Review records in detail for sales tax requirements to determine whether or not customers are taxable.

  • Perform standard tasks under supervision.

  • Refers all complex issues to higher levels

Ideal Candidate

  • High School Graduate or General Education Diploma

  • 0-3 years basic knowledge of billing and receivables process.

  • Basic knowledge of procedures, credits, and collections.

  • Experience in Microsoft Excel and Oracle

  • Knowledgeable in large contracts

  • Ability to review purchase orders

  • Detail-oriented and committed to meeting important deadlines.

  • Must be able to handle multiple tasks

  • Work independently and responsibly.

  • Demonstrated written and verbal communication skills.

  • Able to respond to tactical changes.

  • Able to prioritize and manage time effectively.

Compensation and benefits

  • Salary: $25-$26/hour

  • Schedule: Monday-Thursday: 7:00am-4:30pm, Friday: 7:00am-11:00am
