Reporting to the Controller, the Accounting Clerk will play a critical role in supporting the finance and operations teams by managing Accounts Payable (AP), Accounts Receivable (AR), and basic payroll administration. This position was created to free up the Controller’s time as the company transitions to a new ERP system (Oracle NetSuite).

The ideal candidate will be confident, proactive, and unafraid to take initiative — someone comfortable communicating directly with leadership and able to bring structure and follow-through to accounting processes.

Hours: 8:00am - 4:30pm (Flexible)
Environment: Office-based, front reception area (minimal phone traffic)
Compensation: $25–$28/hour.
Reports To: Controller

Start Date: Immediate

Key Responsibilities

Accounts Payable

  • Create purchase orders (POs), receive items, and enter invoices (approx. 150/month).

  • Process bi-weekly EFT payments (average invoice volume: $50K–$100K).

  • Perform 3-way matching (POs, item receipts, invoices).

  • Communicate directly with vendors/suppliers to reconcile statements and resolve discrepancies.

  • Prepare monthly AP aging reports and assist in determining payment schedules.

  • Code invoices to general ledger accounts as required.

  • Complete monthly credit card reconciliations (4 cards).

  • Support transition to Oracle NetSuite ERP (currently using QuickBooks Desktop).

Accounts Receivable

  • Prepare and issue AR invoices (approx. 40–60/month; up to 100 during peak).

  • Process incoming payments (EFT and cheque deposits via scanner).

  • Conduct follow-ups on overdue accounts via email and phone.

  • Prepare bi-weekly AR aging reports for collections and cash flow review.

  • Perform credit checks and reference requests (Dunn & Bradstreet).

Payroll & Reporting Support

  • Enter weekly time for service technicians into QuickBooks (approx. 20 employees across 3 companies).

  • Assist with WCB reporting: Alberta (annual) and BC (quarterly).

  • Support bi-weekly payroll data entry and reporting as required.

Qualifications

  • 2–5 years of experience in an accounting or bookkeeping role.

  • Strong understanding of AP/AR processes and data entry accuracy.

  • Experience with QuickBooks Desktop preferred; NetSuite experience an asset.

  • Proficient in Microsoft Excel (basic to intermediate level).

  • Excellent attention to detail and organizational skills.

  • Confident communicator — comfortable interacting with leadership and vendors directly.

  • Self-starter who can take initiative and work with minimal supervision.
